Description

Provides standardized administrative and coordination support to frontline field leaders (e.g. Market Directors and/or Market Developers), enabling consistent execution of core business processes.

This role focuses on calendar management, meeting coordination, and structured execution of repeatable processes using established menu of services, tools, templates, and procedures. Work is performed within clearly defined processes and guidelines, supporting efficient day-to-day operations and team effectiveness.

This can be a remote position within the US. Our ideal candidate would be in the Central time zone.

Calendar, Scheduling & Travel Coordination

  • Manage and coordinate calendars aligned to model week priorities, including scheduling meetings and resolving conflicts
  • Coordinate meeting logistics (materials, invites, room setup) using standard workflows
  • Coordinate travel arrangements (flights, lodging, transportation, registration) for supported leaders and teams
  • Support scheduling of recruiting activities (interviews, candidate touchpoints) using standard workflows

 

Routine Communications & Administrative Support

  • Draft and send standardized communications (e.g., invites, reminders, updates) using templates and leader direction
  • Maintain distribution lists and communication templates
  • Organize designated inboxes, route routine inquiries, and flag items for awareness
  • Post market materials using pre-approved content and templates to approved leader social media accounts (e.g. LinkedIn, Hearsay).

 

Reporting, Tracking & Process Execution

  • Compile and format standard reporting outputs using predefined templates
  • Execute setup and maintenance of standardized trackers (e.g., PAR trackers) based on defined instructions
  • Maintain administrative tracking for:
    • Candidate pipeline (scheduling and status tracking)
    • COI activities (record updates, scheduling)
    • Licensing requirements
    • Expense and allocation tracking
  • Prepare and submit expense reports using established processes and templates
  • Track report status and required documentation; follow up to ensure timely completion and correction of errors
  • Support onboarding, transitions, and recruiting workflows using defined checklists
  • Execute work using SOPs, templates, and defined workflows
  • Escalate ambiguity, prioritization, or decision needs to appropriate partners
  • Complete assigned project tasks within defined scope

Meeting, Event & Office Support

  • Coordinate logistics for market meetings and events (invitations, materials, room setup)
  • Support event execution through assigned tasks (registration, materials, A/V, onsite logistics)
  • Order supplies and support routine office operations
  • Attend meetings as needed to support logistics, capture notes, or complete assigned follow-ups

QUALIFICATIONS & SKILLS: 


Required: 

  • 3+ years of administrative, coordination, or operational support experience
  • Experience supporting multiple leaders or teams simultaneously
  • Prior experience in calendar management, scheduling, or team coordination preferred
  • Strong organizational and time management skills, with ability to manage multiple tasks and deadlines
  • High attention to detail and ability to execute repeatable processes accurately and consistently
  • Proficiency in calendar management and scheduling tools
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Ability to learn and navigate standard systems and tools (e.g., expense systems, scheduling tools)
  • Ability to follow standard operating procedures (SOPs) and work within defined processes
  • Basic written communication skills for routine messaging
  • Execution-focused mindset with ability to deliver consistent, high-quality work
  • Strong reliability, responsiveness, and follow-through
  • Ability to work effectively in a team-based, support-oriented environment
  • Adaptability in a structured but fast-paced environment

The applicable salary or hourly wage range for this full-time role is $24.06 - $32.56 per hour, which factors in various geographic regions. The base pay actually offered will be determined by a variety of factors including, but not limited to, location, relevant experience, skills, and knowledge, business needs, market demand, and other factors Thrivent deems important.
